    Job Responsibilities:

    • Provide 24/7 support and service for the Executive Chair and the security staff supporting the set itinerary
    • Provide exceptional customer service in written and spoken communication
    • Develop and maintain proper desk procedures as appropriate
    • Partner with suppliers and maintain a positive working relationship to support travel requests
    • Ensure all billing information is accurate and aligned with Company policy
    • Develop, maintain, and implement processes for internal billing controls for travel expenses for the Executive Chair
    • Confirm and reconfirm appropriate travel logistics are in place pertaining to accommodations, amenities, emergencies, and other logistics
    • Create, implement, and maintain trip itineraries for the Executive Chair and the security staff supporting the travel itinerary
    • Facilitate all officer direct bill and bill back according to Company policy
    • Adhere to all requirements established by Directive A-110 regarding business travel
    • Develop, maintain reporting for personal charges within company policy, car and driver services and managed aircraft
    • Safeguard the confidentiality of all travel information
      Coordinate with the Executive Chair office to ensure all travel requirements and documentation is completed
      Plan, coordinate and execute all travel logistics for the Executive Chair
      Arrange and confirm appropriate ground transportation in support of the Executive Chair travel itinerary
    • Support key meetings and group movements involving the Executive
    • Ensure all supplier contracts are incorporated into the process and all procurement processes are followed
    • Coordinate with the corporate aircraft management team to schedule the aircraft in support of the transportation required by the Executive Chair
    • Work with aircraft management supplier to ensure all corporate aircraft reservations are accurately scheduled and confirmed
    • Offer prompt, accurate, and courteous responses to inquiries with the highest degree of professionalism

    Job Requirements/Qualifications:

    • Must protect FMC confidentiality through knowledge of policies and regulations governing the safeguarding and dissemination of information
    • Positively respond to ambiguity and unpredictability (adapt to rapid changes and maintain awareness of world events that could negatively impact the itinerary; acts of God, protests, strikes, etc.)
    • Strong negotiation skills and the ability to work collaboratively with key internal and external personnel
    • Detail and process oriented
    • Master’s Degree
    • Professional demeanor to effectively manage customer expectations and adapt deliverables to match client needs
    • Must possess organizational skills in an ever-changing environment and have the ability to prioritize and reprioritize tasks and responsibilities consistently
