    Job Description:

    The Administrative Assistant, performs advanced and diversified administrative and clerical support for the Associate Vice President of the IT Clinical Platform within Enterprise Products and her leadership team. This individual will be entrusted with handling sensitive and confidential matters and perform support functions which require a broad and comprehensive knowledge of company policy and procedures. They also structure and organize activities to facilitate the efficient operation of the department. The position is most suited for an individual who can handle multiple tasks and work quickly and effectively to organize data and meet deadlines. Complete confidentiality and absolute discretion are mandatory for this position.

    Job Responsibilities:

    • Strong interpersonal communication skills (written & verbal)
    • Proven time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates

    • Must be able to communicate effectively with all levels and prepare effective written documents
    • Experience building and maintaining relationships within and across teams
    • Submit IT requests as needed for department
    • Expense reports, booking travel, filing, presentations and copying, as needed
    • Calendar management for the Associate Vice President, and leadership team
    • Order catering for events and meetings as needed
    • Experience developing ways of accomplishing goals with little or no supervision, working autonomously to complete objectives and determine when escalation of an issue is necessary
    • Creation, Review, Refinement, Analysis of Microsoft Office Documents (Excel, PowerPoint, etc.)
    • Must be self-directed and possess excellent organizational skills
    • On-boarding all new employees to the team, ordering laptops, software, hardware, cell phones, etc.
    • Maintain department organization charts
    • Coordinate office moves
    • Ability to manage multiple priorities simultaneously and experience coordinating and scheduling multiple events simultaneously

    • Will also require working as a team with other administrative assistance on special assignments
    • Must be self-directed and possess excellent organizational skills
    • Managing and ordering office supplies, printers, copiers, etc.
    • Work with facilities to manage the team and building’s needs
    • Must be able to communicate effectively with all levels and prepare effective written documents
    • Attend meetings, record minutes, and help in the creation of staff meeting agendas
    • Assist with vendor SOWs
    • Meeting coordination and support department communications to include Town Halls, video meetings, and other events
    • Experience developing ways of accomplishing goals with little or no supervision, working autonomously to complete objectives and determine when escalation of an issue is necessary
    • Experience building and maintaining relationships within and across teams
    • Expert proficiency and advanced level skill with Microsoft Office programs including Outlook, Excel, Word, and PowerPoint

    Job Requirements/Qualifications:

    • 2+ Years of administrative assistant experience managing calendars for multiple individuals in Executive Director, VP Levels, and above
